Meeting Information
Full Council meetings
This is a meeting held in public, it is not a public meeting and shall not exceed a period of 2 hours. 10 Full Council meetings are held each year on the second Monday of the month at 7:30pm at the Bentley Memorial Hall, Bentley GU10 5NP. Motions on the agenda shall be considered in the order that they appear unless the order is changed at the discretion of the Chairman of the meeting. Meetings are open to the public unless their presence is prejudicial to the public interest of the confidential nature of the business to be transacted or for other special reasons.
Agenda
The agenda will be published a minimum of three clear days before each Council meeting – this does not include the day on which the notice was issued, the day of the meeting, a Sunday, a public holiday or a bank holiday and this will be displayed on the parish noticeboards at: Bentley Recreation car park, Memorial Hall, Inside the church porchway and the wall outside Bentley Lodge.
Minutes
The minutes of a preceding meeting are served to the Council for approval and if agreed they are a accurate record of the meeting, they shall be signed by the Chairman of that meeting and published on the Parish Council website no later than one month after the meeting has taken place.
Public Participation Section
Members of the public may make representations, answer questions and give evidence at a meeting which they are entitled to attend in respect of the business on the agenda. The period of time designated for public participation at a meeting in accordance with Standing Order 3(e) shall not exceed 10 minutes unless directed by the Chairman of the meeting. Subject to Standing Order 3 (f) a member of the public shall not speak for more than 3 minutes.
PLEASE INFORM THE CLERK at least three day prior to the meeting, providing any relevant paperwork for the Council if you wish to participate during this session.
The press shall be provided with reasonable facilities for taking of their report of all or part of a meeting at which they are entitled to be present but must ask the Chairman’s permission before recording the meeting.
The Annual General Meeting ( AGM)
This is held in May where the first item of the agenda is to elect the Chairman and vice- Chairman and appoint committee members and representatives to other bodies
The Annual Parish Assembly Meeting in April
This is not a Parish council meeting, it is a meeting of the parish for the electors who can contribute to the agenda celebrating local activities and debate current issues in the community. Guest speakers from different village committees, school, police and district and County Councillors are invited to speak to the residents. Light refreshments are served and all residents of all ages are welcome to attend to hear about what is happening in their Parish.
Planning Matters
Planning application(s) will be discussed during the Full Parish Council meeting under the Planning & Development section. Details of the planning application(s) to be discussed, will be published on the agenda. An Extraordinary meeting of the Council
The Chairman of the Council may convene an extraordinary meeting of the Council at anytime to discuss urgent matters that arise in-between Full Council meetings. An agenda will be published and the public are welcome to attend – Public Participation rules apply as stated above.
